We’ve made Invoice AI directions more accessible with a new permission structure that separates AI management from administrative roles in NetSuite:
- Role-based AI Access: Grant the new “Manage AI Directions” permission to specific employees or entire roles—no admin access required to create directions.
- Maintain Separation of Duties: Senior accountants and AP professionals can now create and optimize AI extraction directions while preserving security boundaries.
- Streamlined Workflow: Users with this permission can access AI directions settings directly through the gear icon, enabling faster customization of invoice processing.
This enhancement empowers the people closest to your invoicing process to leverage natural language AI directions, improving extraction accuracy without compromising control.
Enhanced Custom Field Extraction
We’ve also improved how AI directions handle custom segments that appear at both header and line levels, allowing you to write specific extraction rules for each instance—perfect for complex invoice layouts.
Accrual Automation: More Reliable Workflows
We enhanced several key workflows in Accrual Automation to ensure month-end processes work as expected:
- Intuitive Amount Filtering: Changed the way amount filtering works to no longer require both minimum and maximum values—now you can leave either value blank for an open-ended range.
- Zero-value Processing: Improved the accruals worksheet to properly handle adjustments down to zero.
These improvements create a smoother, more reliable month-end experience for finance teams.
Payment Automation: Expanding Global Reach
Following last month’s launch of International Payments, we’re continuing to expand global payment support—welcome our latest addition, Croatia! We’ve also improved vendor identification by adding direct links to NetSuite vendor records, making it easier to distinguish between similar vendor names during payment setup.
This expansion reflects our commitment to providing comprehensive Payment Automation that works seamlessly within NetSuite, whether you’re paying domestic or international vendors.
Platform Enhancements
We’ve addressed several user experience improvements to make daily AP tasks smoother:
- Persistent Scroll Bars: Both horizontal and vertical scroll bars now remain visible in the inbox and accruals tables, eliminating the need to scroll to the bottom to navigate wide tables.
- Visual Processing Feedback: The loading indicator has been restored when saving bills after 3-way matching, providing clear confirmation that the system is processing.
- Smarter Vendor Form Selection: We added a “None” option for vendor onboarding forms to prevent accidental form submissions while collecting vendor information.
- Date Field Improvements: Vendor onboarding forms now feature formatted date pickers, reducing manual entry errors.
- Seamless NetSuite Updates: NetSuite’s 2025.2 release is just around the corner. Prior to each NetSuite release, we certify compatibility with the new NetSuite release. We’re happy to report SquareWorks is compatible with NetSuite 2025.2!
